Using HubSpot Work to Manage Client Onboarding

Closing a deal is only the beginning.

Once a new customer signs, the work shifts from sales to onboarding, implementation, and customer success.

And that handoff is often where things get messy.

The deal history lives in HubSpot. The onboarding tracker may live in a spreadsheet. The kickoff meeting gets scheduled separately. Internal notes get copied into a document. Someone manually creates tasks for the next steps.

HubSpot Work can bring that process together.

Start the Onboarding Process Automatically

The process can begin when a deal moves to Closed Won.

That status change can automatically create a new onboarding row in a HubSpot Work tracker.

Because Work is connected to the CRM, the associated company and contacts can come through with it.

That means the onboarding team doesn’t have to recreate basic customer information somewhere else before they can get started.

The onboarding record is already connected to the CRM context that created it.

Generate a Sales-to-Customer-Success Handoff

One of the most important parts of onboarding is making sure the team taking over the relationship understands what happened during the sales process.

HubSpot Work can generate a sales-to-customer-success handoff document using the history already stored on the deal.

Instead of asking the salesperson to manually summarize the opportunity from scratch, the existing CRM history can provide the starting point for the handoff.

That doesn’t eliminate the need for good sales notes.

But it can make it much easier for the next team to actually use the information that’s already there.

Handle the Welcome and Kickoff Process

An agent can send welcome emails to the customer’s contacts with a link to schedule their kickoff meeting.

Once the customer books, the onboarding status can automatically update to Kickoff Booked.

That’s a small automation, but it removes another piece of manual coordination from the handoff.

Instead of someone checking whether the meeting has been scheduled and updating the project tracker, the process can move itself forward.

Create the Onboarding Tasks for the Team

Once the kickoff is booked, HubSpot Work can also scaffold a set of onboarding subtasks.

Those tasks can then be assigned across the customer success team.

The result is a repeatable onboarding process without requiring someone to manually recreate the same checklist every time a new customer comes on board.

Keep the CRM and the Onboarding Work Connected

This is the part of the use case I find most interesting.

Traditionally, the CRM and the onboarding project may be connected conceptually, but they aren’t always connected operationally.

HubSpot knows:

  • which deal closed
  • which company bought
  • who the contacts are
  • what happened during the sales process

The onboarding process needs to track:

  • whether the kickoff is scheduled
  • what tasks are still open
  • who owns each task
  • whether the onboarding is moving forward

HubSpot Work can keep those pieces together.

The deal, company, contacts, onboarding documents, and active tasks can all remain visible within the same connected process.

See Every Active Onboarding in One Place

A live table can show every active onboarding and its current status.

That gives customer success or post-sale operations teams a single view of the customers currently moving through onboarding.

Instead of opening individual deals, checking calendars, and looking through separate project trackers, the team can see the state of the onboarding process in one place.

If an onboarding stalls, the process can also escalate it.

A Better Handoff Between Sales and Customer Success

The value here isn’t that HubSpot Work can create a checklist.

There are plenty of tools that can do that.

The difference is that the onboarding process can begin with the CRM context already attached.

The customer doesn’t have to be recreated in another system.

The sales history doesn’t have to be manually summarized from scratch.

The kickoff status doesn’t have to be tracked separately.

And the onboarding team doesn’t have to rebuild the same project every time a deal closes.

For companies already managing their sales process in HubSpot, this creates a much more natural bridge between winning the customer and getting the customer successfully onboarded.
