HubSpot’s New Scheduled Prompts Make Breeze Assistant Much More Useful

HubSpot recently rolled out a new Breeze Assistant feature that I think is much more important than it might initially sound: Scheduled Prompts.

Until now, Breeze Assistant has mostly been reactive. You open it, ask a question, and it gives you an answer.

With Scheduled Prompts, you can now tell Breeze to run that prompt automatically on a recurring schedule, whether that’s daily, weekly, monthly, or annually. The result will be waiting for you in your Breeze Assistant chat list when you log into HubSpot.

As a HubSpot consultant, I think this is a pretty significant step forward in how companies can actually incorporate AI into their day-to-day operations.

What are Scheduled Prompts in HubSpot?

Scheduled Prompts allow you to save a prompt in Breeze Assistant and tell HubSpot when you want it to run.

For example, you could ask Breeze to:

  • Summarize your open deals every Monday morning
  • Give you a daily briefing before sales calls
  • Review the health of important customer accounts each week
  • Summarize recent activity in your pipeline
  • Surface deals that may need attention
  • Create a monthly recap of a particular area of your CRM

Instead of remembering to open Breeze and run the same prompt over and over, Breeze does it for you.

You can create the schedule from the Manage Prompts area in Breeze Assistant, or you can simply tell Breeze something like:

“Every Monday morning, summarize my open deals.”

Once the scheduled prompt runs, Breeze creates a new conversation thread with the results. On mobile, you can also receive a push notification and jump directly into the response.

You can then continue the conversation with Breeze if something in the report catches your attention.

Why I Think Scheduled Prompts Are an Important HubSpot Update

I’ve been saying for a while that the real value of AI inside a CRM isn’t simply having another place where you can ask questions.

The real opportunity is getting AI incorporated into the processes you’re already running.

That’s what makes this update interesting.

A lot of companies have access to AI tools right now, but that doesn’t necessarily mean their teams are consistently using them. Someone has to remember to open the tool, formulate a prompt, run it, and then do something with the response.

Scheduled Prompts remove one of those barriers.

Instead of thinking, I should probably ask Breeze to review my pipeline, you can make that review happen automatically every Monday morning.

That changes Breeze from something you occasionally consult into something that can become part of your operating rhythm.

This Could Be Especially Useful for Sales Teams

Sales teams are one of the most obvious use cases.

Imagine a sales rep logging into HubSpot every morning and already having a Breeze conversation waiting for them that summarizes what has happened across their deals.

Or a manager starting Monday with a summary of open opportunities, deals that haven’t moved recently, and accounts that may need attention.

You could also schedule prompts that help salespeople prepare for upcoming conversations or regularly review activity across their books of business.

None of these tasks are necessarily difficult to do manually. The problem is that they often don’t happen consistently.

And consistency is exactly where automation becomes valuable.

HubSpot has spent years helping companies automate CRM processes with workflows. Scheduled Prompts start bringing that same philosophy to AI-powered analysis.

There Is an Executive Reporting Opportunity Here Too

I also think this could become useful for managers and executives who don’t necessarily want to dig through every dashboard or CRM record themselves.

You might create a recurring prompt that asks Breeze to summarize a particular part of the business every Monday.

Instead of starting with a dashboard and trying to interpret what changed, you could start with an AI-generated summary and then investigate the underlying data in HubSpot.

I wouldn’t use an AI summary as a replacement for proper HubSpot reporting. You still need well-designed properties, pipelines, dashboards, lifecycle stages, and clean CRM data.

But it can become another layer on top of that reporting infrastructure.

And that distinction is important.

AI becomes significantly more useful when the CRM underneath it is well structured.

This Is Also Why CRM Data Quality Matters More Than Ever

There’s another reason I think updates like this are important from a HubSpot consulting perspective.

The better HubSpot’s AI capabilities become, the more valuable your CRM structure becomes.

If your deal stages are inconsistent, properties aren’t maintained, associations are missing, or your CRM is full of outdated records, asking Breeze to summarize that information isn’t going to magically fix the underlying problem.

AI can only work with what you’ve given it.

Companies that have invested in thoughtful HubSpot architecture are going to be in a much better position to take advantage of features like Scheduled Prompts.

In other words, your CRM isn’t becoming less important because AI can interpret it.

It’s becoming more important.

How Scheduled Prompts Work

Setting one up is fairly straightforward.

In Breeze Assistant, click the bookmark icon and select Manage Prompts. From there, you can create a new prompt or edit an existing saved prompt and select Schedule this prompt.

You can schedule prompts:

  • Daily
  • Weekly
  • Monthly
  • Annually

You can choose the time you want the prompt to run or provide a custom schedule conversationally.

Breeze runs the prompt automatically, and the completed response appears in your chat list with a clock icon and unread indicator.

Schedules can also be paused, resumed, edited, or deleted.

HubSpot currently allows each user to have up to five active Scheduled Prompts. Paused prompts don’t count toward that limit. A HubSpot portal can have up to 500 active Scheduled Prompts across all users.

There is also a rolling 24-hour execution limit of five runs per user and 500 per portal.

Scheduled Prompts are available across all HubSpot hubs and tiers.

The Bigger Picture: HubSpot Is Moving Toward Proactive AI

This is the part of the update I’m most interested in.

Most AI assistants still depend on you initiating the interaction.

Scheduled Prompts begin to change that model.

Instead of:

Open AI → ask question → get answer

we’re moving toward:

Define what you care about → AI watches your business rhythm → information comes to you

Scheduled Prompts are still relatively simple. They’re scheduled, not truly event-driven or autonomous.

But they point toward where CRM-based AI is going.

Your CRM already contains an enormous amount of context about your prospects, customers, deals, tickets, marketing activity, and company relationships.

If Breeze can increasingly analyze that information proactively instead of waiting for someone to ask the right question at the right time, it becomes much more valuable.

And as a HubSpot consultant, that’s what I’m watching.

The companies that get the most value from Breeze aren’t going to be the ones that simply turn AI features on.

They’re going to be the ones that figure out which recurring decisions, reviews, and processes can be improved by having Breeze consistently surface the right information at the right time.

Scheduled Prompts make that a lot easier.

I’d recommend testing it with one or two recurring tasks you already do manually, like a weekly pipeline review or account health check, and seeing where it saves you time.
