If you’re researching HubSpot consulting services, you’ve probably noticed that it can be surprisingly difficult to find actual pricing.
So I’ll start with mine.
My current HubSpot consulting pricing is:
- One-off HubSpot projects start at $500
- HubSpot onboarding and implementation starts at $1,500
- Ongoing HubSpot consulting starts at $3,000 per month, with engagements ranging up to approximately $7,500 per month
I’ve worked with HubSpot since 2012 and have been a HubSpot Solutions Partner since 2014. I work directly with my clients, and my consulting is hands-on. That means I’m not simply recommending what your team should do in HubSpot. I’m the person actually doing the work.
The amount you’ll ultimately pay depends on what you need help with, how complex your HubSpot setup is, and whether you need a single project, implementation help, or an ongoing consulting relationship.
Here’s how my pricing works and what you should consider when comparing HubSpot consultants.
How Much Does a HubSpot Consultant Cost?
There isn’t a standard price for HubSpot consulting because “HubSpot consulting” can describe very different kinds of work.
Someone might need a consultant to troubleshoot one workflow. Another company may need to restructure an existing CRM, build custom objects, connect HubSpot with another system, and overhaul reporting. Another may need someone to work alongside its marketing and sales teams every month.
Those shouldn’t cost the same amount.
That’s why I offer three different ways to work together rather than trying to fit every client into the same consulting package.
One-Off HubSpot Projects: Starting at $500
My one-off HubSpot projects start at $500.
This option is designed for businesses that have a specific HubSpot problem to solve or project to complete but don’t need an ongoing consulting relationship.
A one-off project might involve:
- Workflow and automation development
- CRM cleanup or restructuring
- Custom objects and association structures
- Advanced reporting and datasets
- Sales pipeline and process improvements
- Service Hub configuration
- Knowledge base setup
- Integrations with other systems
- Troubleshooting an existing HubSpot setup
- Team training
- Implementing or optimizing a particular HubSpot feature
The $500 is a starting price, not a flat fee for every project.
A focused project that can be completed relatively quickly will obviously cost less than a project involving sophisticated automation, CRM architecture, custom objects, reporting, or integrations.
Once I understand what you’re trying to accomplish, I can determine the scope and price accordingly.
HubSpot Onboarding and Implementation: Starting at $1,500
My HubSpot onboarding starts at $1,500.
The final price depends on which HubSpot products you’re implementing and the complexity of your setup.
A relatively straightforward implementation may move quickly. A business with multiple teams, pipelines, integrations, large data migrations, custom objects, or more sophisticated automation will naturally require a larger scope.
Timing can vary just as much. HubSpot often talks about onboarding in terms of a 90-day period, but an implementation can be much shorter or substantially longer depending on the specifications and complexity of the project.
There’s also an important distinction to understand when comparing HubSpot onboarding prices: guidance versus implementation.
Some onboarding is primarily guidance-based. You’re shown how HubSpot works, given recommendations or checklists, and your team performs much of the actual setup.
My onboarding is hands-on.
I work directly in your HubSpot portal to configure the platform around the way your business actually operates. Your team is still involved because I need your input on your processes, data, sales structure, marketing, and goals, but you’re not paying me simply to tell you what to build yourself.
That’s an important difference when you’re comparing onboarding quotes.
Ongoing HubSpot Consulting: Starting at $3,000 Per Month
My ongoing HubSpot consulting starts at $3,000 per month, with engagements ranging up to approximately $7,500 per month depending on the level of support required.
This option is for businesses that need an experienced HubSpot resource on an ongoing basis rather than for one defined project.
The work can include CRM architecture, automation, reporting, integrations, Service Hub, email marketing, sales processes, troubleshooting, data cleanup, training, and implementing new HubSpot functionality.
It can also include marketing and sales strategy.
That’s an important part of how I work. My background is in marketing, so my role with long-term clients frequently goes beyond HubSpot administration. I’m often involved in figuring out what we should be doing and then using HubSpot to make it happen.
There is a 3-month minimum commitment to get started with ongoing consulting.
That said, many of my ongoing client relationships last for years.
The longer I work with a company, the more context I have about its business, people, CRM, systems, processes, and history. That means when a new problem comes up, we aren’t starting from scratch.
What Determines the Price of HubSpot Consulting?
The biggest factor is simply what you need done.
But several things can affect the scope and therefore the cost.
Complexity
A company using HubSpot primarily for contact management and basic marketing automation has very different needs from a business using multiple Hubs, sophisticated automation, custom objects, advanced reporting, and external integrations.
More complexity usually means more discovery, planning, implementation, testing, and documentation.
The Number of Teams Involved
HubSpot often sits at the intersection of marketing, sales, customer service, operations, and leadership.
The more teams and processes a project touches, the more important it becomes to understand how changes in one area affect another.
Integrations and External Systems
If HubSpot needs to exchange data with another business system, the scope can change considerably.
I’ve worked on projects where HubSpot workflows and webhooks communicate with external systems to bring information back into CRM records. That’s a very different project from configuring a native HubSpot feature.
Data and CRM Architecture
Sometimes the problem isn’t the feature you’re trying to implement. It’s the structure underneath it.
If your CRM needs to be reorganized, associations need to be reconsidered, custom objects are required, or years of accumulated data need attention, that work needs to happen before piling more automation on top.
Hands-On Work vs. Consulting Advice
This is one of the most important things to clarify when comparing HubSpot consulting prices.
Are you paying someone to tell you what should be done?
Or are you paying someone to actually do it?
There are situations where advisory consulting makes sense, particularly if you have experienced HubSpot administrators in-house.
But if your team doesn’t have the time or expertise to execute the recommendations, make sure implementation is included in the price you’re comparing.
Why Do HubSpot Consulting Prices Vary So Much?
HubSpot consultants and HubSpot consulting firms can have dramatically different pricing models.
Some charge hourly. Some price by project. Some require monthly retainers. Larger agencies may package HubSpot services together with marketing strategy, creative, web development, paid media, SEO, or other services.
The experience level of the person doing the work also matters.
A proposal from an experienced independent consultant isn’t necessarily comparable to a proposal where most of the work will be handled by junior agency staff.
That’s why I wouldn’t evaluate HubSpot consulting pricing based on the headline number alone.
You need to understand what you’re actually buying.
Independent HubSpot Consultant vs. Agency Pricing
An independent consultant and a HubSpot agency can both be excellent choices, but the business models are different.
An agency may have account managers, strategists, developers, designers, writers, paid media specialists, and other resources available. If you need many of those capabilities at once, that can be valuable.
An independent consultant generally has less overhead and gives you more direct access to the person doing the work.
In my case, the person you talk to before hiring me is the same person who works inside your HubSpot portal. There isn’t an account manager or junior consultant between us.
If you’re deciding between the two models, I’ve written a more detailed comparison of working with a HubSpot consultant vs. a HubSpot agency.
Should You Pay Hourly, Per Project, or Monthly?
It depends on the work.
Project pricing makes sense when there’s a defined problem or outcome. That’s why I use it for my one-off HubSpot projects.
Monthly consulting makes sense when the need is ongoing and priorities are likely to change. Instead of creating a new scope every time something comes up, you have an established HubSpot resource who already understands your business.
Hourly pricing can make sense for certain types of training or very limited assistance, but I generally prefer to scope meaningful HubSpot work around the outcome rather than simply selling blocks of time.
The important thing is that the pricing model matches the work.
A business with one specific HubSpot problem shouldn’t have to sign an unnecessary retainer. And a company that needs substantial ongoing support shouldn’t have to create a new project every time it needs something.
How Should You Compare HubSpot Consulting Quotes?
If you’re comparing several HubSpot consultants or consulting firms, don’t just put the prices next to each other.
Ask what’s included.
A lower-priced proposal may require considerably more work from your internal team. A higher-priced proposal may include strategy, implementation, testing, training, and ongoing support that isn’t included elsewhere.
I’d want clear answers to questions such as:
- Who will actually do the work?
- Will they work directly inside your HubSpot portal?
- Is implementation included or is the engagement primarily advisory?
- What exactly is included in the scope?
- How are changes in scope handled?
- Is there a minimum commitment?
- Will you have direct access to the person doing the work?
- Does the consultant have experience with the type of HubSpot work you need?
- What happens after the initial project is finished?
I’ve also put together a more complete list of questions to ask a HubSpot consultant before hiring.
Why I Publish My HubSpot Consulting Pricing
I think you should be able to figure out whether I’m realistically within your budget before you schedule a call with me.
If you have a $200 budget for a HubSpot project, knowing that my projects start at $500 saves both of us time.
If you’re looking for ongoing support, knowing that my consulting starts at $3,000 per month gives you an immediate sense of whether we’re in the same ballpark.
And if you’re purchasing HubSpot and need hands-on implementation, you know my onboarding starts at $1,500 before we ever speak.
There’s still going to be a conversation about scope. There has to be. I can’t tell you what a complex integration or CRM restructuring will cost without understanding what you’re trying to accomplish.
But “it depends” doesn’t have to mean “we won’t tell you anything until you get on a sales call.”
I can give you the starting numbers. Then we can figure out what your particular project requires.
